Terms and Conditions of Enrollment
Disclosure of Information
Under the Data Provision Requirements 2012, AIE is required to collect personal information about you and to disclose that personal information to the National Centre for Vocational Education Research Ltd (NCVER).
Your personal information (including the personal information contained on this enrollment form and your training activity data) may be used or disclosed by AIE for statistical, regulatory and research purposes. AIE may disclose your personal information for these purposes to third parties, including:
- School – if you are a secondary student undertaking VET, including a school-based apprenticeship or traineeship;
- Employer – if you are enrolled in training paid by your employer;
- Commonwealth and State or Territory government departments and authorized agencies;
- NCVER;
- Organisations conducting student surveys; and
- Researchers
Personal information disclosed to NCVER may be used or disclosed for the following purposes:
- Issuing a VET Statement of Attainment or VET Qualification, and populating Authenticated VET Transcripts;
- Facilitating statistics and research relating to education, including surveys;
- Understanding how the VET market operates, for policy, workforce planning and consumer information; and
- Administering VET, including program administration, regulation, monitoring and evaluation.
You may receive an NCVER student survey which may be administered by an NCVER employee, agent or third-party contractor. You may opt out of the survey at the time of being contacted.
NCVER will collect, hold, use and disclose your personal information in accordance with the Privacy Act 1988 (Cth), the VET Data Policy and all NCVER policies and protocols (including those published on NCVER’s website at www.ncver.edu.au).
AIE staff and stakeholders will ensure that:
- Personal Information is collected in accordance with information privacy principles
- Effective storage and security arrangements are in place
- Records are complete, up to date and accurate
- Students can access their personal information at no charge
- Corrections are made to inaccurate records and student requests to amend records are noted on the record
- Personal information is only used for the purposes for which it was collected and personal information is only disclosed in accordance with the principles in the Privacy Act.
AIE may be required to provide personal information to external organisations including the Australian Government and designated authorities in order to provide specific services and as required by law. This may include, but is not limited to sharing information with the Department of Immigration and Border Protection (DIBP), Department of Education, Australian Council for Private Education and Training (ACPET), and the Tuition Assurance Fund. This information includes personal contact details, and course enrollment details and changes. AIE may also disclose information if it is reasonably believed to be necessary to prevent or lessen a serious threat to the life or health of any person.
For FEE-HELP students, AIE collects information for the purpose of assessing entitlement to Commonwealth assistance under the Higher Education Support Act 2003, and allocation of Commonwealth Higher Education Student Support numbers (CHESSN). AIE will disclose this information to the Department of Education for the above purposes and the Department of Education will store the information securely in the Higher Education Information Management System. The Department of Education may disclose the information to the Australian Taxation Office (ATO), and AIE will not disclose the information without a student’s consent unless required or authorised by law.
For International students, information is collected on this form and during your enrollment in order to meet our obligations under the ESOS Act and the National Code 2007; to ensure student compliance with the conditions of their visas and their obligations under Australian immigration laws generally. The authority to collect this information is contained in the Education Services for Overseas Students Act 2000, the Education Services for Overseas Students Regulations 2001 and the National Code of Practice for Registration Authorities and Providers of Education and Training to Overseas Students 2018. Information collected about you on this form and during your enrollment can be provided, in certain circumstances, to the Australian Government and designated authorities and, if relevant, the Tuition Assurance Scheme and the ESOS Assurance Fund Manager. In other instances information collected on this form or during your enrollment can be disclosed without your consent where authorised or required by law.
Fees
Payment of fees for full fee-paying students must be paid by due date on invoice/s.
Payment plans are available to students which can be arranged through AIE administration staff. VET Student Loans are applicable to all courses listed on this enrollment form and is available to students who meet citizenship or residency requirements.
A student who does not meet their financial obligations throughout their enrollment may be suspended from training until they have paid the fees due or have their enrollment cancelled. Once enrolled in Unit/s of Study, students are liable for all fees relating to those units unless they withdraw in writing before the census dates of relevant Units of Study, in accordance with HESA 2003.
A student who completes their course but has not paid all the fees for that course will not be issued with their transcript, Statement of Attainment or qualification until such monies have been paid in full. Unpaid fees may be followed up by AIE through a debt collection agency and any costs incurred will be payable by the student.
Fees shown on the Tuition Fees Schedule apply exclusively to the enrollment period. Any student applying for direct entry into the second year of a course will be charged the published fees for the year they are entering.
AIE reserves the right to cancel courses or subjects/modules within a course. If AIE cancels a course, or subjects/modules within a course for which the student has enrolled and paid fees, the student would be eligible for a refund if the reduction in contact hours results in the revised contact hours translating to a lower fee than previously paid.
Course delivery
AIE’s online courses are delivered over 4 Study Periods per year. Each Study Period, a range of Units of Study (Subjects) will be offered. The Units of Study on offer will depend on minimum student numbers.
Student Eligibility for VET Student Loans
In order to receive a VET Student Loan, students must meet certain criteria for which evidence must be provided. These include:
- Being an Australian Citizen, or a qualifying New Zealand citizen, or a permanent humanitarian visa holder who is usually a resident in Australia;
- Have an Australian Year 12 Certificate or an Australia Qualification Framework Certificate IV or higher qualification, or an Exist Level 3 competency in the ACSF in reading and numeracy; and
- A Tax File Number or a Certificate of Application for a Tax File Number;
- A Unique Student Identifier
Determining citizenship and visa status
It is the provider’s responsibility to ensure students meet the citizenship and residency eligibility for VET Student Loans. The provider must collect and verify this information
An Australian Passport is suitable evidence of Australian citizenship. Otherwise, the evidence required to demonstrate that an applicant is an Australian citizen may differ depending on whether the applicant was:
- Born overseas
- Born in Australia before 20 August 1986
- Born in Australia on or after 20 August 1986.
Applicants born overseas and acquired Australian citizenship by application

Applicants will need to provide one of the following documents as evidence of their Australian citizenship:
- An Australian passport
- An Australian citizenship certificate
- A Citizenship by Descent extract
- An Adoption in accordance with the Hague Convention on Intercountry Adoption or bilateral arrangement extract
If an applicant does not have one of the above citizenship documents they will need to apply for a replacement certificate by lodging Form 119 Application for evidence of Australian citizenship with certified copies of the required documents and the application fee with the Department of Immigration and Border Protection (DIBP).
Applicants born in Australia before 20 August 1986
Applicants may provide their Australian Passport.
Alternatively, applicants will need to provide their full birth certificate issued by an Australian Registry of Births, Deaths and Marriages (RBDM).
An exception to this is where the applicant’s parents were in Australia as diplomats or consular officers at the time of the applicant’s birth. In these circumstances, the applicant will need to provide a citizenship certificate as evidence that they are an Australian citizen.
If the applicant does not have a citizenship certificate they will need to lodge Form 119 Application for evidence of Australian citizenship with certified copies of the required documents and the application fee with DIBP.
Applicant was born in Australia on or after 20 August 1986 and one of their parents was an Australian citizen at the time of their birth
Applicant was born in Australia on or after 20 August 1986 and one of their parents was an Australian citizen at the time of their birth Applicants may provider their Australian Passport.
Alternatively, where one (or both) of the applicant’s parents was an Australian citizen at the time of their birth, the applicant will need to provide their full birth certificate issued by an Australian RBDM and one of the following documents to show that one of their parents was an Australian citizen at the time of their birth:
- Their parent’s Australian citizenship certificate or
- If their parent was born in Australia before 20 August 1986, their parents full birth certificate issued by an Australian RBDM or
- If their parent was born in Australia on or after 20 August 1986, their parent’s full birth certificate issued by an Australian RBDM and their grandparent's Australian birth certificate issued by an Australian RBDM.
If the applicant cannot provide this they must apply for their own evidence of Australian citizenship by lodging Form 119 Application for evidence of Australian citizenship with certified copies of the required documents and the application fee with DIBP.
Applicant was born in Australia on or after 20 August 1986 and one of their parents was a permanent resident of Australia at the time of their birth
Where one (or both) of the applicant’s parents was a permanent resident of Australia at the time of their birth, they will need to provide both of the following documents to prove their Australian citizenship:
- Their full birth certificate issued by an Australian RBDM
- Their Australian citizenship certificate.
They can apply for an Australian citizenship certificate by lodging Form 119 Application for evidence of Australian citizenship with certified copies of the required documents and the application fee with DIBP. The following documents are not acceptable as proof of a parent’s permanent residency for VET Student Loan applications:
- Parent's foreign passport with a visa label
- Visa Entitlement Verification Online (VEVO) printout
- visa grant notification letter
- Certificate of Evidence of Resident Status (CERS)
- Certificate of Status for New Zealand Citizens in Australia (CSNZCA)
- ImmiCard
- Freedom of Information (FOI) letter from the Department of Immigration and Border Protection.
These documents only provide proof of a person’s visa status on the day they are issued / printed and are not sufficient proof of a parent’s resident status at the time the applicant was born.
Change of Contact Details
Please advise AIE of any changes to your residential address and/or phone number within 7 days of the change. All correspondence will be sent to your last known address including your results. It is your responsibility to ensure that you always update your address details with AIE to ensure you receive important information.
Tuition Assurance
As part of the being an approved FEE-HELP provider, AIE must meet tuition assurance requirements. AIE is a member of the Australian Student Tuition Assurance Scheme which is administered by the Australian Council for Private Education and Training (ACPET). Because AIE continuously reviews and revises its courses in response to industry demand and feedback to ensure the currency and relevance of its programs in accordance with Australian law and regulations we reserve the right to update course content in response to industry feedback.
